An account isn't just active or deleted. It moves through real stages — waiting on verification, fully active, paused for a while, suspended for a reason, gone but recoverable. Edushade gives every stage its own home, with the right tools for the admin and the right experience for the user.

Five Friendly States

Pending verification, active, inactive, suspended, deleted. Each one is a real state with a real meaning, not a flag tucked into a corner of the database.

Welcome and Verify

New accounts start in pending verification. The platform sends the right email or OTP, walks the user through it, and only flips them to active once they've confirmed.

Pause Without Losing Anyone

Set someone to inactive when they're on a break, or to suspended for a policy reason. Their data stays, their access stops, and a clear reason is on the record.

Self-Service Deactivation

Learners can step away on their own from /dashboard/profile. They start the deactivation themselves, the platform confirms, and they leave with their progress intact in case they come back.

Soft Delete, Real Recovery

Deleted doesn't mean gone. The record is held, the data is preserved, and an admin can bring an account back to life when the situation calls for it.

An Audit Trail That Just Happens

Every state change is captured — who did it, when, on whose account. You don't have to log it yourself. Open Audit Logs and the history is right there.

A real welcome, before the first lesson

Every new account starts in pending verification. The platform sends the email or SMS the user signed up with, asks them to confirm, and only moves them to active when they do. While they're waiting, the experience is calm — they know what's needed, the link or OTP is clear, and the platform tells them what's next. No half-states, no learner stuck in a tab.

Pause when life happens, suspend when policy says so

Sometimes an account needs to step away. A learner takes a break for a semester. A staff member goes on leave. A policy matter comes up and access needs to stop today. Edushade keeps those situations distinct — inactive is a friendly pause, suspended is a serious one — and both are reversible without any data loss.

  • Inactive — a polite pause; access off, data fully preserved

  • Suspended — access off, often with a reason on the record

  • Either state can be lifted in one click when the time is right

  • Notifications fire so the person knows their account changed state

Letting someone leave without burning the bridge

When a person decides to leave — or when an admin needs to remove them — Edushade does it with soft delete. The account moves into a deleted state and stops working immediately. Their data, their progress, their certificates and their history all stay safe in the background. If they come back six months later (and many do), an admin can reactivate the account and they pick up where they left off, just with a fresh verification.

Every change quietly on the record

You don't have to remember to log a status change. The platform does it for you. Each transition — verified, deactivated, suspended, deleted, reactivated — lands in the audit log with the actor, the target and the time. The notifications system fires the right message to the user too, so an account never quietly changes state without them knowing. No surprises on either side.

Most of this happens on its own. The admin only steps in for the moments that need a human — a suspension, a reactivation, a deletion request approval. The rest is built into the flow.

Welcome and verify

Someone signs up — through self-registration, an invitation or an OAuth login. They land in pending verification, get a friendly email or OTP, and the moment they confirm, the platform flips them to active and welcomes them in.

Pause, suspend or step in when needed

If someone needs a break or you need to stop access, switch their state from the user detail page in admin. Inactive for a friendly pause, suspended for a policy matter. Their progress is held, their notifications stop, and they get a message explaining what happened.

Offboard cleanly, leave the door open

When an account is closed, the platform soft-deletes it — the data is held, the audit trail is intact, and the user is told it's done. If they ever come back, an admin can reactivate the account in one click and the welcome flow starts fresh.
